Hi,

The owner of the company that I work for is looking to implement some
sort of document management system. I don't have much expertise in this
area, so I was hoping to get a few recommendations. Here is what I am
looking for:

- There will be about 25 people filing/accessing documents
- Ease of use. The people that will be using this have only basic
computer skills.
- Must have an easy way to scan/archive existing documents, preferably
into PDF or TIFF format. A lot of our scans will be done through our
digital copiers, which output PDF files.
- Integration with Quickbooks for filing invoices, sales order, etc.
would be a definite plus, but it is not required as Quickbooks will
print to a PDF document.
- Web interface for accessing documents remotely
- I would prefer an actual Windows client for managing documents on
local clients in the office. Web interfaces seem to confuse the
employees here.
- This project is on a constrained budget. We are looking at $2-3K max
for just the software.

I've looked at a few packages, but haven't really come up with anything
yet. Documentum and Xerox Docushare look really nice, but I am assuming
they are out of our budget range (am I correct?). I also played around
with Plone, but I don't think the "ease of use" factor is high enough,
plus there is no way to directly scan/archive documents.
I would be very grateful for any recommendations!

Our needs are : scanning, emails, office documents, generated
documents, workflow definition, ...

Michael,

you are thinking about a Document Management System for 25 users at
approximately $2-3k? Definitely forget about Documentum and Docushare.
They start off at base prices of approx. $500 per user. But even low
end systems like ELO or Windream will be close to $300 per user. And,
by the way, none of those systems offers the scanning solution in that
base package. It would account for additional $s.

I have been working in the DMS area for quite some time now and would
ask you a number of questions with regards to your project. None of
the requirements that you have mentioned actually makes ad DMS
necessary. What you described could easily be done based on a very
simple filesystem based solution, maybe with a database to keep track
of all documents. Are there any additional requirements? Why are you
looking at implementing a DMS? Do you require integration with e-mail
clients? Do you require integration with Office programs? ...

describes (but does not evaluate) about 100 different Document Management
software companies. The list was from Google, the time spent was mine.
